CJI’s Privacy policy
Canadian Jesuits International (CJI) is committed to protecting the privacy of donors, supporters and other stakeholders in our work. We would like to assure everyone that we do not sell, give or share personal information with anyone outside CJI.
CJI is responsible for the personal information that is under its control and designates a privacy officer as a point of contact for matters related to this policy (Please see contact details at the end of this policy.). While accountability for compliance with the present policy rests with the privacy officer, other individuals within the organization may be responsible for the collection and processing of personal information.
As part of its accountability to protect personal information, CJI ensures that all staff are appropriately trained about this policy.
Purpose of collecting personal information
The purposes for which personal information is collected shall be identified at or before the time the information is collected, and only information relevant to the identified purposes shall be collected. The personal information that CJI collects and uses— with the express or implied consent of the donor / partner— is only used by CJI to:
- respond to your requests;
- process donations, issue tax receipts and send thank you letters;
- solicit and raise funds as well as personalize your experience as a donor;
- launch and manage CJI Web and social media campaigns;
- inform donors and members about Jesuit programs and how donor financial support helps us to do our work in accordance with CJI’s mission. ;
- complete your registration for a training session, fundraising event, webinar, petition-signing or advocacy activity in which you wish to participate;
- manage service agreements with CJI suppliers;
- ensure the safety of its staff, members, volunteers, and anyone else associated with CJI.
For the purposes stated above, we may collect with your consent, the following information: name, address, birthday, telephone, cell and fax numbers, e-mail address, credit card number, banking information, and language of correspondence.
Consent
The knowledge and consent of the individual are required for the collection, use, or disclosure of personal information. To ensure “knowledge and consent,” CJI makes a reasonable effort to ensure that the individual is advised of the purposes for which the information will be used. To make the consent meaningful, the purposes are stated in such a manner that the individual can reasonably understand how the information will be used or disclosed.
An individual may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting the privacy officer. CJI shall inform the individual of the implications of such withdrawal.
Limiting collection
The collection of personal information is limited to that which is necessary for the purposes identified. CJI does not collect personal information indiscriminately. The amount and the type of information collected are both limited to what is necessary to fulfill the identified purposes.
Information is collected by fair and lawful means, from the replies to our fundraising appeals as well as from the information provided by members who request cards or memberships for individuals. This information comes to us from supporters and members via verbal communication, regular mail, the telephone, fax, the internet and e-mail.
Limiting Use, Disclosure and Retention
Personal information will not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law. Personal information will be retained only as long as necessary for the fulfillment of those purposes. Personal information that is no longer required to fulfill the identified purposes is destroyed, erased, or made anonymous.
Accuracy
CJI strives to keep the information sufficiently accurate, complete, and up to date to minimize the possibility that inappropriate information may be used to make a decision about the individual.
Safeguards
Personal information is protected by security safeguards appropriate to the sensitivity of the information. The security safeguards protect personal information against loss or theft, as well as unauthorized access, disclosure, copying, use, or modification. These safeguards consist of:
a) Physical measures
- Access to offices is restricted to CJI staff; offices are kept locked whenever unattended.
- Personal data is kept in locked cabinet.
b) Organizational measures
- Access to the personal data is restricted to the staff member(s) who need to use it as per their job description.
c) Technological measures:
- Access to data stored electronically is password protected.
- CJI uses only licensed software, and credible, reputable IT services suppliers, ensuring that data transmitted over the website and the donation platform is encrypted and protected.
d) Providing adequate training to staff
- All CJI staff members are trained on the present Policy and made aware of the need to protect personal data.
- All CJI staff members sign a Non-Disclosure Agreement.
Openness, Individual Access and Challenging compliance
CJI Privacy and Personal data management Policy is posted on the CJI website. CJI may modify or adapt this Policy at any time. We recommend that users review this section regularly to stay informed regarding changes. The user’s access to, or use of the website following a change to the Policy shall be deemed as consent to the revised Policy.
